Daily Process: How to book Avvail reservations in OpenTable
Instructions for Adding Avvail Reservations to OpenTable
Step 1: Set Up Your Workspace with the Avvail Dashboard and Opentable iPad or web page.

Open the Booking Module in OpenTable on an iPad or browser tab.

In another tab or window, open the Avvail Dashboard and navigate to the Reservations List.

Use this list to reference and process each Avvail reservation.
Step 2: Access OpenTable

On an iPad: Select Floor Plan from the menu.

On the web version: Select Front of House from the OpenTable dashboard.
Step 3: Start New Reservation

Tap the reservation icon.

Choose the date and specify the party size.
Step 4: Select Time

Review availability labels:
-
No in-house available: Online bookings or walk-ins only.

No availability: Fully booked or blocked.

Blank: Table available for online reservations.

Step 5: Enter Guest Information

Paste the guest’s name from Avvail.

Select existing profiles if the guest has dined before.

For new guests, use Add to Guestbook and fill in required details.
Step 6: Confirm Notifications

Ensure Send standard booking confirmation is activated.

Optionally select another confirmation type if required.
Step 7: Reservation Notes

Include any relevant tags (e.g., VIP).

Add visit notes if necessary (e.g., Birthday).

Update guestbook notes for recurring details (e.g., dietary preferences).
Step 8: Finalize

Select your user name from the list.

Complete booking by tapping the green check mark.
Notes:
- If an in-house reservation is updated, a booking confirmation email will be sent to the guest confirming the changes.
- Toggle off Send standard booking confirmation if you don’t want to send a confirmation email of the changes.
- If an email address wasn’t added when the reservation was saved, one can be added after it’s booked. You can then use the Send booking confirmation button to send the email confirmation to the guest.
- Guests can opt out of having their OpenTable profile included in the restaurant’s search within their OpenTable account preferences. They can learn more about how to unsubscribe on our help site.
